Who are EventEntry ?

EventEntry is a family run business based in Cumbria. We're not a corporate sitting in a call centre somewhere, we have a physical office close to Lake Windermere in the heart of the Lake District, with plenty of tea on tap ;-) We're runners and event organisers ourselves (not a commission-driven marketing company), so we understand exactly how the industry works. EventEntry was setup because we knew that we could do a better job than that which was available at the time ... and to be honest, we know that we beat a great number of our competitors on price and service now! We provide a slick, hassle free service to event organisers, so that they can efficiently handle entries for their events.

Do you charge a processing fee ?

EventEntry charge a service fee to the event organiser, we do not surcharge the entrant. In fact since January 2018, it's been illegal to do so. The price that you pay to enter an event on EventEntry will be the same price if you were to pay cash or cheque directly to the organiser.

Can I enter more than one event at a time?

Accepted Answer

You certainly can, simply enter one event and when at the basket, click 'Enter another event' and when you're complete, just make a single payment - simple !

Can I enter more than one entrant at a time?

Accepted Answer

Again, yes indeedy! Providing the entrants details are unique and individual, you can enter as many people in as many events as you wish ... subject to event capacity. You can then make a single payment covering all entries - simple eh !

Question 5

How can I pay for my entry?

Accepted Answer

You can pay for an entry in a number of ways - via Stripe, using a major credit or debit card, via PayPal or using digital wallets such as ApplePay or GooglePay. Be safe in the knowledge that we at EventEntry DO NOT store payment details.

Why haven't I received my confirmation email?

There could be a number of things at play here : We send email confirmations to the email address used during payment which could be different to the entrant. Our email has been caught in spam/junk. The email address has a typo

Why isn't my name shown on the entrant list ?

Accepted Answer

In short, because you opted to be hidden. With the advent of GDPR, explicit consent is required to display your name on the public entrant list.

I want to transfer my entry but can't locate my reference.

Accepted Answer

Your entry reference is contained within the original entry confirmation email and is also available from your entry list within the Entrant Portal. But not a problem, contact our team via LiveChat or email info@evententry.co.uk and we'll help you out.

My transfer isn't working, why not ?

Accepted Answer

It could be for a number of reasons : The details entered don't match our records - we need an EXACT match The transfer window has closed The event doesn't allow transfers The entry has already been transferred, re-transfers are not permitted.

Can I get a refund?

Accepted Answer

Each event has different terms & conditions, so refunds are dependant upon the event and/or organiser. The entry terms are clearly stated within the event listing, but if you're unsure, please feel free to LiveChat with us and we can check for you.

Can my friend run in my place?

Accepted Answer

Absolutely NOT. Many events provide a window in which you can officially transfer places. Outside of this, just turning up and collecting someone else's number is a big no-no !! It puts the event at risk, could be potentially harmful in the event of a medical emergency and risks you being disqualified from the event.

When will I receive my race number?

Accepted Answer

Race number allocation is down to event organiser in question. Many now hand out numbers on the day, so please check with the event listing for more details.

Is there a waiting list?

At the moment, we don't offer waiting list functionality, purely because 99% of our organisers like to maintain direct contact with entrants, should random places become available.

Do I have to register before I enter ?

Accepted Answer

Absolutely not! We think that's a real faff and a bit old fashioned - after all, your entry IS your registration.

Not all of my entries are listed within my profile

Accepted Answer

The most common answer to this is details don't EXACTLY match (maybe a different email has been used, or there's a slight typo in the name), so the system can't tally them together. Drop us an email or contact us on LiveChat and we'll delve deeper.

I can't submit my virtual result, the event isn't listed.

Accepted Answer

Only events that are enabled for virtual results are listed. It could also be that the date for result submission hasn't yet arrived or has expired

I need to change my name, how do I do that?

Contact our support team by email or LiveChat and we'll arrange that for you.

Question 18

Will my details be remembered for next time?

Accepted Answer

Within our system, yes. You can now sign into our new Entrant Portal and then when entering an event, your details will be pre-filled.

I can't remember what events I've entered.

Worry not, simply sign into our new Entrant Portal and your entry history is right there.

Question 20

How long does it take to setup a new event ?

Providing all of the required information is available, usually the same working day.

When will I get paid ?

Accepted Answer

We usually remit funds to our organisers on the first working day of the month, but we're flexible and can happily accomodate more frequent payouts. Please contact us to discuss.

Can I sell merchandise ?

Accepted Answer

Of course, it's easy to do at time of entry. Depending upon the cost of the item a 1% handling fee may apply.

I need to ask other questions, is that possible?

Of course. We ask all of the usual questions as standard, but you can ask upto 8 additional questions (which we think is more than enough), if need be.

Do I get notified when we have an entry ?

Accepted Answer

As an organiser, you will have access to the Organiser Portal - from here you can see paid up entrants in real time. Should you require email confirmation upon entry, we can accommodate that, but would only recommend this for smaller events - otherwise you're going to be inundated with confirmation emails !

Can I bulk email our entrants ?

Accepted Answer

Yes, we offer a mailing facility so you you can email entrants with event details or event updates. We aslo provide a comprehensive entrant export, from which you can use the data within other marketing services, such as MailChimp.

Do you charge for refunds ?

Accepted Answer

The odd single refund, no - that's all part of the service. For bulk refunds, in the case of an event cancellation, yes - we charge £0.50p per refund.

Can we send attachments with the confirmation email ?

Yes. EventEntry can send a single PDF attachment with the original confirmation email.

I'm getting entrants tell me that they haven't received their confirmation ?

Accepted Answer

There could be a number of things at play here - but it all boils down to email. Only a single confirmation is sent, and that gets sent to the email used during payment. This can be different to the entants actual email address. Or, there 's a typo in the email. Or, and believe it or not this does happen, an email is entered that's not used any more.

I have a fixed limit, how do you stop people entering.

Simple - we set a limit on the event. We can also set limits on individual entry types.

I have a large event, can I get a discount ?

We expect our event to sell out quickly, can you handle that ?

Accepted Answer

Absolutely. We serve many sell-out events, some selling out within minutes. Our systems are designed to handle large peak demand.

We're giving away t-shirts and need to know sizes.

Easy - we simply ask for the required size. The answer will be available within the Organiser Portal.

Can we offer discount vouchers to our entrants?

Accepted Answer

Sure - we can accomodate any number of voucher codes, all of which can have different validities, percentage or value discounts and also one-time-use only.

Can we give away entries for free?

Sure you can - this can be done using a voucher code or you can setup free-to-enter entry types.

I don't want my event to be listed on your main list.

Accepted Answer

That's ok. We understand that from time to time, you may want to only allow entries for a limited number of people, a private event so to speak. That's easy - we simply set the event to 'private' - you'll still get a friendly link and all other great features, but it won't show in our main listing pages.

How can I see who's entered into my event ?

Via our Organiser Portal. Once we've set you up, we'll provide you with a login and then you'll have instant access to entrant details in real time.

Why are you cheaper than many competitor online entry providers?

Because we're very efficient in what we do and have low overheads. We're a family run business, not a huge corporate. And anyways, why should things be more expensive than they need to be !?

Can I advertise related products ?

Sorry, no. We've purposely stood aside from advertising on our site. Our daily lives are bombarded with adverts and we're not about to become a sheep and follow the crowd just because it'll bring in a few more pennies. We see ourselves as shepherds, leading the way.

Can I make changes to my event myself ?

Of course you can, after we've setup at least one event for you. Our Organiser Portal contains all the tools you need to manage existing and create new events.
